Community Management Associate

A Grossberg Company LLP client based in Germantown, Maryland is seeking a Community Management Associate. This client is a well-respected full service community management firm. They deliver service to their clients through their team of experienced, trained and capable managers, and their knowledgeable, capable and dedicated support staff. This client's office is small with a casual, friendly atmosphere.

The Community Management Associate’s main responsibility is the management of the day-to-day operations of client community associations in order to meet the maintenance and operational goals as established by the Board of Directors for each client community. The Community Management Associate will also provide additional support as needed to the daily operations of Vanguard Management's corporate office. Hours: 
8:00 am to 5:00 pm Monday through Thursday; 8:00 am to 12:00 pm Friday.
 
Responsibilities:
  •  Perform regular site visits to assigned client communities to make observations concerning the condition of the common grounds and amenities.  Such visits are to be on the regular contract schedule in order to evaluate and respond to maintenance and other needs.  Such observations shall also include notation of “blatant and obvious” maintenance or other violations observed upon individual homeowner property as well as vehicle violations noted on the common elements.
  • Use a tablet computer to prepare “Common Element Observation Reports” with details/results of the site visits as described above.  Reports shall be submitted to the community manager assigned to the particular client(s) no later than the next business day.
  • Perform observations of individual homes on an “as-needed” basis and as requested by the individual community manager in order to respond to specific complaints.  Visits to perform such observations shall be performed during the regular site visit to the client property.
  • Perform community-wide seasonal maintenance inspections of individual homes as assigned by supervisor.
  • As scheduling permits and as determined by the supervisor, be available to visit any client community as may be necessary to help support any time sensitive projects or maintenance items.
  • Become familiar with covenants, rules and applicable laws for each assigned client in order to insure thorough and complete observations.
  • In consultation and with the approval of the individual community manager and to ensure a timely response, issue work orders as appropriate to respond to maintenance requirements noted on regular observation reports.
  • Assist community managers in the placement of orders for supplies and/or materials needed for prompt and proper maintenance of the common areas for client communities.
  • Assist community managers with administration of casualty losses, issuing parking passes and acquisition of keys/other supplies/materials as needed.
  • Assist community managers with administering capital improvement projects.
  • Assist in responding to general homeowner inquiries from time-to-time as may be necessary to support the community management team.
  • Assist with other administrative functions in the Vanguard corporate office including assisting with community mailings, processing administrative forms, scanning documents, etc.
  • Assist with special or ongoing projects as may be assigned by Vanguard's leadership team. Work directly with assigned supervisor to follow-up on action items and ensure project timetables are met.
  • Perform other duties as assigned by the supervisor.
 Requirements:
  • Ability to prioritize, coordinate and organize a schedule of inspections and assigned tasks. 
  • Ability to analyze situations and respond effectively.
  • Ability to listen and effectively communicate both verbally and in writing with unit owners, residents, team members, contractors, and community volunteers, including Board of Directors.
  • Ability to understand, learn and use software and equipment used in the office.
  • Ability to speak and write effectively.
  • Ability to address groups and respond in a positive succinct manner.
  • Ability to walk for extended periods of time and climb stairs and other on-level terrain.
  • Ability to read PC screens and fine print, including the regular use of a tablet device for inspections.
  • While performing duties of the job, the Community Management Associate is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, talk, and use a telephone and personal computer, including typing on a keyboard.
  • May be required to lift and/or move objects weighing up to 25 pounds.
  • A personal vehicle is required to drive to, from and within each client community as well as the Vanguard office.
